We are the "controller" of your personal information. That means we decide how and why it's used, and we're responsible for looking after it.
2. What information we collect and why
| What we collect | Where it comes from | Why we use it | Our lawful basis (the legal reason) |
|---|---|---|---|
| Enquiry form: name, email, phone number (optional), event date, number of guests, venue, your message. For dry hire enquiries, also whether you want collection or delivery. | You, when you fill in the form | To reply to you, work out what you need, prepare a quote and set up your enquiry in our hire system | Contract - taking steps at your request before a contract, or performing one. |
| Automatic confirmation email | Generated from what you submitted | To confirm we've received your enquiry | Contract (pre-contract steps) and legitimate interests (making sure you know we got your message). |
| Phone calls to 0161 570 0017: your number, what you say, and any details you give (name, event, contact details). Calls are answered by our phone and AI answering provider, RingDesk. We record calls, and RingDesk also sends us an email summary. | You, when you call | To handle your enquiry or booking, make sure we don't miss calls, and keep a record for quality and in case of a dispute | Legitimate interests (running a responsive business and keeping a record of what was agreed), or contract where you're asking about a booking. |
| Dry hire shop and checkout: name, contact details, delivery/collection details, order and hire details. | You, when you order | To process your hire, arrange delivery or collection, invoice you and keep our records | Contract, and legal obligation (keeping accounting and tax records). |
| Customers' and clients' records: quotes, invoices, hire history, correspondence. | You, and us | To run the hire, deal with queries or damage/loss, and keep our accounts. Customer details are held in Current RMS only (we don't keep a separate customer database). | Contract, legal obligation, and legitimate interests (defending or making legal claims, keeping a sensible record of our dealings). |
| Website technical data: IP address, browser/device type, pages requested, date and time. | Automatically, from your browser | To deliver the site, keep it secure and fix problems | Legitimate interests (running and securing our website). |
| Cookies | Your browser | See our Cookie Policy. Analytics cookies are only set if you accept. | Strictly necessary storage doesn't need consent. Analytics cookies use consent. |
Payments: we don't currently take card payments on the website. Checkout is pay by invoice or bank transfer - we send you an invoice and you pay us by bank transfer. We therefore don't collect or store your card details.
Marketing: we don't send marketing emails. If we ever start, we'll update this policy first and only send them where the law allows (for example with your consent), with an easy way to unsubscribe.
Phone calls are recorded. When you call 0161 570 0017, the call is recorded by RingDesk on our behalf.
We don't ask for "special category" information (like health or religion) and we don't knowingly collect information from children. Please don't include sensitive details in the enquiry form.
We don't use your information to make automated decisions that have a legal or similarly significant effect on you.
3. How we use your information - the short version
- To reply to you and give you quotes.
- To run your hire or event job.
- To keep proper business and tax records.
- To keep our website working and secure.
- To understand how the website is used, if you accept analytics cookies.
- To handle complaints, claims or disputes.
We don't sell your information, we don't send marketing emails and we don't use it for advertising.
4. Who we share your information with
We only share what's needed, with companies that help us run the business. These are our "processors" - they handle your information on our instructions and must keep it secure.
| Who | What they do for us | What they may get |
|---|---|---|
| Vercel Inc. | Hosts our website | Technical data, including IP addresses, in server logs; the website form data passing through the site |
| Resend | Sends our emails (enquiry notifications to us, and the confirmation email to you) | Your name, email address and enquiry details |
| Current RMS (Current Software Ltd) | Our rental and quoting software - where we hold our customer details, enquiries, quotes and hire orders | Your enquiry, contact, event and order details |
| Google (Analytics) | Measures how the site is used, only if you accept analytics cookies | Pages you visit, a client id in the analytics cookies, and approximate location derived from your IP address. Nothing is sent to Analytics if you reject, or if you have not chosen yet. |
| Google (Maps) | Shows the map on the Contact page after you press Load map | Your IP address when the map loads. Google may also set a cookie such as NID |
| RingDesk (0161 570 0017) | Phone and AI answering service that handles calls to our number, records them, and emails us a summary | Your phone number, what you say on the call, and the call recording |
| Our accountant | Prepares our accounts and tax returns | Invoice and hire records, which may include customer names and contact details |
We may also share information where we have to by law (for example with HMRC or the police), or with our professional advisers (such as accountants, insurers or solicitors) if we need advice. If our business was ever sold, we'd pass relevant information to the new owner, who would have to look after it under this policy.
5. Sending information outside the UK
Some of the companies above (for example Vercel, Resend, Google and Current RMS) are based in, or use servers in, other countries including the United States.
When your information goes outside the UK, we make sure it's protected by one of the legal safeguards UK law allows, for example:
- the UK's "adequacy regulations" - including the UK-US Data Bridge, for US companies certified under the Data Privacy Framework (UK Extension) , or
- the UK International Data Transfer Agreement (IDTA) or the UK Addendum to the EU Standard Contractual Clauses, in the provider's terms.
You can contact us for more details of the safeguards we rely on.
6. How long we keep your information
We keep information only as long as we need it. Our current plan is:
| Information | How long | Why |
|---|---|---|
| Enquiries and quotes that didn't turn into a booking | In case you come back, or there's a query | |
| Phone call summaries / emails to the enquiries inbox | Same as above | |
| Hire records, orders, contracts and correspondence for completed jobs | Contract claims and business records (the usual limit for claims is 6 years) | |
| Invoices and accounting records | Legal obligation | |
| Website server logs (including IP addresses) | Security and troubleshooting | |
| Call recordings (RingDesk) | Quality and dispute resolution |
After that we delete it or anonymise it.
7. Keeping your information safe
We use reputable providers, secure (HTTPS) connections, password-protected accounts and restrict access to people who need it. No system is perfectly secure, but we take reasonable steps to protect your information. If there's ever a breach that puts your rights at risk, we'll tell you and the ICO where the law says we must.
8. Cookies and similar technologies
Our website uses strictly necessary storage - for example to keep your dry hire basket working and to remember your cookie choice. If you accept, we also use Google Analytics 4. We don't use advertising cookies. The Contact page can load a Google Map if you press Load map, and Google may then set its own cookies. Full details, including the cookie names and how long they last, are in our Cookie Policy.
9. Links to other websites
Our site links out to Instagram. The Contact page shows a still image until you press Load map, and only then loads a Google Map. We don't embed video or social feeds. We're not responsible for Google's or Instagram's privacy practices, so have a look at their policies.
10. Your rights
Under UK data protection law you have the right to:
- Be informed about how we use your information (that's this policy).
- Access a copy of the information we hold about you.
- Correct anything that's wrong or incomplete.
- Erase your information (in some situations - for example, we still have to keep accounting records).
- Restrict how we use it, in some situations.
- Object to us using it based on legitimate interests.
- Data portability - to get certain information you gave us in a portable format.
- Withdraw consent at any time, where we're relying on consent. Analytics cookies are the place we ask: use Cookie settings in the footer, or email us.
To use any of these rights, email enquiries@artiumav.co.uk or write to us at the address above. We'll usually reply within one month. It's free, though we may ask you to prove who you are. In rare cases we can charge or refuse if a request is clearly unfounded or excessive - we'd explain why.
11. Complaints
We'd love the chance to fix any problem first, so please contact us. But you also have the right to complain to the Information Commissioner's Office (ICO), the UK data protection regulator:
- Website: ico.org.uk/make-a-complaint
- Phone: 0303 123 1113
12. Changes to this policy
We may update this policy from time to time. The date at the top shows when it was last changed. If we make a big change, we'll make that clear on the website.
